EXPAT RELOCATION MANAGEMENT TOOL

UX/UI design, product design, service design, user research 2021-2022

This is a digital platform and management tool for employers to process immigration procedures for their employees coming from abroad. The product facilitates collaboration among legal service providers, employers, and employees, and covers the entire Dutch immigration procedure, as well as monitors the validity of the employee’s residence permit.

PROJECT CONTEXT

When hiring talents from abroad, employers – often in collaboration with legal service providers – will need to process the residence permit application for the new employee, by communicating with the Immigration Office (IND). This process often costs a lot of communication (due to lack of transparency) and mundane administration work. Moreover, it is the employer’s obligation to retain all necessary document records, and they are also responsible for monitoring the employee’s residence permit valid period in order to renew their permits in time.

PROCESS

As the product is developed within a start-up, the design and development follows the Sprint method. Different product features are built in the order of priority, and often go through several rounds of iteration. The design also needs to be scalable and flexible enough to follow the adjustments of the product direction, as well as insights from expert interviews and user inputs.

WORKFLOWS: TRANSPARENT PROCESS AND COLLABORATION

  • Guide your employee: The user is guided through the entire immigration process with all required information. Different workflows are tailor-made for different types of permit, such as highly-skilled migrants, permit extensions, family member permits, etc.

  • Centralized data: Upload, collect, store, and manage all documents and information in one place. 

  • Get status updates: The user gets continuous updates on actions and statuses involved in the immigration process.

EMPLOYEE RECORDS: PERMIT AND RESIDENCY VALIDITY MONITORING

  • Automate alerts: Automate alerts according to permits to stay compliant with expiry dates. 

  • Manage permits: Manage all the employees’ permit application and records in one structured system, including salary slips, residence history, and family members.

THREE MAIN USER ROLES

The interface differs among the three user roles – legal service provider, employer, and employee – to suit their needs. For example, the legal service provider can access certain features such as report and analysis, reviewing documents, organization management, etc.

SERVICE BLUEPRINT

The product touches upon multiple stakeholders, including legal service providers, employers, sponsors, case managers, and backstage actions of the product and the administrator.

MENDIX DEVELOPMENT, MACHINE LEARNING, AUTOMATION

  • The use of Mendix accelerates the development of the product and insures secure data storage. 

  • Machine Learning enables the system to identify the uploaded documents and extract useful information from the documents.

  • Automation greatly reduces the document processing time by automatically extracting and filling in the information required for the permit application to the IND (Dutch Immigration and Naturalisation Service).
